Business email is your company’s own e-mail service, used for sending and receiving messages and exchanging file attachments. The main thing that sets business email apart from a personal email address is that everything after the “@” symbol matches your corporate website’s address \u2014 for example: office@site2b.com.ua<\/p>\n\n\n\n

Why does a business need its own email domain?<\/strong>

It’s true that in the 21st century, plenty of major companies \u2014 Google, Yandex, Bigmir, Ukr.net, and others \u2014 offer free email services of fairly high quality, with strong security and spam filtering.<\/p>\n\n\n\n

Every internet user already has a personal inbox, so when you hire someone, it might seem tempting to just let them use it for business correspondence. But in that case, you run the risk of clients or contractors receiving work emails on your company’s behalf from senders like princess91@ukr.net, boss-tankov666@i.ua, or something even stranger.<\/p>\n\n\n\n

Even a more neutral-looking address (m.ivanov@gmail.com, for example) isn’t ideal for business correspondence either. If you need to send something like a formal guarantee letter, an address from a free service won’t be taken seriously and won’t carry any real weight \u2014 unlike a letter sent from a corporate address that carries your company’s own domain.<\/p>\n\n\n\n

But the reputational cost of using free email addresses is only part of the problem. The other part is security and control.<\/p>\n\n\n\n

When personal email addresses are used for work:<\/p>\n\n\n\n

  • the entire contact database of clients and\/or contractors ends up stored in your employee’s personal email contacts, and it walks out the door with them when they leave your company.<\/li>
  • keeping track of business correspondence becomes difficult or outright impossible.<\/li>
  • if an employee gets sick or leaves, handing off communication with business partners becomes difficult or impossible too.<\/li><\/ul>\n\n\n\n

    With business email, the domain owner has full control over every mailbox and can easily change access, review correspondence, and manage accounts at will. <\/p><\/blockquote>\n\n\n\n

    Given all this, it’s clear that using business email for correspondence with partners and clients is a must for any company.<\/p>\n\n\n\n

    How do you set up business email on your company’s domain?<\/strong><\/p>\n\n\n\n

    To set up business email on your own domain, you’ll need the following:<\/p>\n\n\n\n

    • your own domain<\/li>
    • a server where all correspondence will be stored and where the mail software will run<\/li>
    • a mail program that lets you actually send and receive messages.<\/li><\/ul>\n\n\n\n

      There are a few ways to go about this:<\/p>\n\n\n\n

      • Your own server. This is the fairly traditional approach that companies used throughout the 2000s and 2010s \u2014 a whole room in the office set aside as a “server room,” filled with expensive hardware, with a dedicated employee (a system administrator) hired specifically to keep that server running correctly. As you can tell from the description, this option is quite expensive, and fortunately there are plenty of alternatives available today.<\/li>
      • Renting a cloud server. This service is essentially renting a slice of the hardware described above, along with a portion of a system administrator’s working hours, letting a company save significantly. To set up business email this way, the domain owner just needs to pick a pricing plan from a provider offering this service and point the domain to that server through the appropriate DNS settings.<\/li>
      • Using the mail feature on your website’s hosting plan. Hosting providers that offer hosting for corporate websites quite often include an email option. It’s usually free, but the disk space allotted is typically small, which limits how much correspondence you can store, and the mail software involved can be fairly outdated. This option works well for small companies of about 1\u20135 people.<\/li>
      • Gmail. Yes, Gmail lets you connect your website’s domain to their email systems. In our view, this is the most optimal way to set up business email on your own domain.<\/li><\/ul>\n\n\n\n

        Google and Yandex are companies with multi-billion-dollar valuations, which lets them use cutting-edge technology and hire some of the best specialists in the field.<\/p><\/blockquote>\n\n\n\n

        As for Gmail, its pricing is around $5 per account per month, or $50 per year.<\/p>\n\n\n\n

        One drawback of this option is that these companies don’t even hide the fact that they index the email correspondence of their users, including business accounts. So if your business deals with highly sensitive trade secrets, using these services isn’t advisable, and the only option that will suit your company is the first one \u2014 your own corporate server.
